Call for Workshop Proposals

womENcourage’15 Workshops aim at bringing together undergraduate and graduate students as well as academics and professionals in computing to engage in rich discussions around a vast variety of topics. We invite organizers and participants of all genders, confessions and beliefs to celebrate the advances of women in technical sciences!

WomENcourage 2015 invites workshop proposals addressing the following or related topics:

  • Technical workshops include but are not limited to Internet of Things, Apps, Big data, Bioinformatics and Telemedicine.
  • Workshops for children aiming at promoting technical interest in children. womENcourage is a family friendly conference, and parents or tutors can join the workshops if they like, or children can participate alone if they like.
  • Career development workshops (Leadership strategies, Cracking your Interview)
  • Bridging the gap - gender related workshops looking at for example inclusive leadership and more women in the top-level chain positions.

Workshop venue

All workshops will be held on the premises of  Uppsala University. The primary venue will be the historic Main University Building (Universitetshuset), dating from the 1880s. It is located in central Uppsala, near the cathedral, and in easy walking distance to many hotels and restaurants.

Organizing a workshop

There are two groups of people involved in a workshop: organizers and participants. Organizers are responsible for the workshop’s topic, logistics and final outcome. Participants are responsible for the content and discussion. The following is an outline of the submission and organization process:

  1. Workshop organizers submit a workshop proposal (as described above), which is reviewed by the womENcourage 2015 workshop chairs, and is either accepted or rejected. Notification about the decision is sent to the workshop organizers, who have submitted a proposal, by 1 Feb 2015.
  2. If a workshop is accepted, both womENcourage and the workshop organizers will advertise the workshop to attract potential participants. Workshop organizers solicit participants for their workshop through a Workshop Participants Call for Participation. We strongly recommend that the organizers set up a website for the workshop. womENcourage places a link to the website on the conference workshops page.

Workshop proposal contents

The proposal should be 2–4 pages in length, unanonymized, and formatted according to the ACM format template and should detail:

  • Title and durations
  • Workshop theme and goals
  • Outcomes of the workshop
  • Relevance to the field
  • Intended audience
  • Organisers’ names and backgrounds
  • Description of activities planned
  • Needed facilities
  • Funding plan when applicable, and a possibility for scholarship applications
  • A 250-word call for participation on a separate page. This call will be posted on the womENcourage workshop page if the workshop is accepted (changes allowed until 15 June 2015).
  • Include presentation videos of previously organized workshops, if available.

Workshop selection process

The workshop chairs are responsible for selecting the workshops for the conference. They will consider several factors during the selection process, including:

  • The potential for the topic of the workshop to generate stimulating discussions and useful results.
  • The organizers’ ability to demonstrate in the proposal a well-organized process and plan for the workshop that fosters interactivity.
  • The overall balance of topics in the program.
  • The proposed size of the workshop. For large workshops, a clear and workable plan to facilitate a lively discussion environment for all participants will be scrutinized.
  • Workshops are encouraged to include planning that would work with different time slots in the programme (i.e. for 1,2 or 3 hours).
  • Note that the children participating in the workshops speak different languages, therefore instructions/instructors who can facilitate in various languages need to be present. Written material in several languages for these workshops is recommended.

If multiple workshop proposals are received on the same or similar topics, the workshop organizers may be encouraged to merge them.

Submission Procedure

  • Format: unanonymized 2–4-page proposal in ACM format and a 250-word Call for Workshop Proposals. The 250-word text will be used on this womENcourage website where we will collect short descriptions of each accepted workshop.
  • Submissions are made electronically through EasyChair.
  • At the conference: We encourage workshops of one to three hours session length.
  • Archives: Workshop proposals will be archived on the womENcourage website.
